1. Who this policy covers
This policy applies to CivicVoice Uganda's public website, reporting tools, Community Wall, public-servant recognition, staff portals and related services. Technical support is provided by Potentia Motus. For privacy questions or requests, email info@potentiamotus.biz or call +256 394 306 540.
2. Information we collect
- Account information: email address, authentication identity, display name, phone number if supplied, and account role.
- Reports and evidence: descriptions, categories, locations, photos or other evidence, timestamps, and the public or anonymous attribution choice you make.
- Participation: Community Wall posts, corroborations, Civic Stars, resolution feedback and abuse reports.
- Technical and safety data: device, security, audit and service logs needed to protect accounts, prevent fraud and operate the platform.
Do not submit another person's sensitive personal information unless it is necessary, lawful and relevant to a genuine public-service report.
3. Why we use information
We use information to create and secure accounts; route service alerts to responsible institutions; verify evidence; show progress; prevent abuse; moderate public contributions; recognise good public service; communicate about reports; produce aggregated service-delivery insights; and comply with legal obligations.
4. Public, anonymous and private information
Public posts and non-anonymous reports may show the name you choose to display. When you choose anonymous attribution, your name is hidden from public view, but authorised staff may retain access where needed for trust, safety, legal compliance or case follow-up. Contact details, authentication records, individual Civic Star votes and abuse reports are not published.
5. Sharing and service providers
Relevant report information may be shared with the government institution or public office responsible for responding. We use trusted infrastructure providers, including Supabase for authentication and data services and Vercel for web hosting. We do not sell personal information or provide it to political campaigns or advertisers.
6. Retention and security
We retain information only as long as reasonably necessary for public accountability, case history, safety, legal requirements and platform operations. Some verified public records may be retained as part of the accountability trail. We use access controls, row-level database policies, encryption in transit, moderation and audit records, but no online service can promise absolute security.
7. Your choices and rights
You may ask to access, correct or delete eligible personal information; withdraw consent where consent is the basis for processing; object to or restrict certain processing; and raise a privacy complaint. Some information may need to be retained where law, safety or the integrity of a public accountability record requires it.
Uganda's Data Protection and Privacy Act applies to personal-data processing involving Ugandan citizens. You may also contact or file a complaint with Uganda's Personal Data Protection Office.
8. Children and policy updates
CivicVoice accounts are not designed for children under 18 without appropriate parent or guardian involvement. We may update this policy as the service or law changes; material changes will be dated and communicated through the platform where appropriate.
